  15. 1. What Is Microsoft Fax for Windows?

  17. Microsoft Fax for Windows is a Fax Server program that
  18. enables network users to fax documents, quick notes, and
  19. E-mail messages from any Windows computer on the network.
  20. To fax documents, quick notes or E-mail messages, you
  21. you need only install the Fax Client and add a shared fax
  22. printer on your computer. Fax documents the same way
  23. you ordinarily print documents. When you print a document,
  24. the fax printer appears in the Printer list. You fax quick
  25. notes with the Fax Send Utility. You fax E-mail messages
  26. by sending them to a fax address. Fax Server also faxes
  27. documents inserted in E-mail messages.
  28. All faxes are sent and received through fax devices installed
  29. on the Server Computer. The Fax Server recognizes any
  30. communication device capable of initiating and receiving
  31. type 3 fax calls. Most commonly, this is a standard fax
  32. modem, a fax card, or a virtual fax port (for Internet
  33. faxing).
  34. Fax for Windows automatically answers calls to fax
  35. devices on the server computer. Received faxes can be
  36. printed immediately, distributed to a folder on the
  37. network or sent to an inbox. If you have a fax modem with
  38. adaptive answer capability, Microsoft Fax Server can
  39. distinguish between fax and data calls.
  40. Microsoft Fax for Windows converts all outgoing and
  41. incoming faxes to Tag Image File Format (TIFF) files,
  42. which you can print or view and store online.
  43. Note: The Small Business Server version of Microsoft
  44. Fax for Windows supports up to four fax devices.

  46. 2. Sending Faxes
  47. ----------------------------------------------------------
  48. You can send a fax in any of three ways.
  49. * You can fax an open document directly from its
  50. program simply by selecting your fax printer as
  51. your target printer. On the File menu of the program,
  52. click Print, and the Fax Send Utility opens
  53. to guide you through each step. Click Send to
  54. fax a document in an E-mail message.
  55. * You can use the Fax Send Utility (Start/Programs/Fax)
  56. to quickly create and fax a message. Use this method
  57. when you do not need to include file attachments or
  58. simultaneously send the message to E-mail addresses.
  59. * You can send a fax from Exchange or Outlook
  60. simultaneously to both fax and E-mail addresses.
  61. In Exchange you use special fax addresses
  62. you define in your Personal Address Book.
  63. In Outlook you use the fax address for any contact
  64. with a fax number. When you select a recipient with
  65. a fax address, the e-mail that you type becomes your fax.
  66. A copy of each fax you send is stored in the Sent
  67. or Sent Items folder, just as e-mail messages are.
  68. Regardless of the method you use to send your fax, you can
  69. open the fax printer queue in the Printers folder in My Computer
  70. to monitor the progress of your fax. When you use Exchange or
  71. Outlook to send a fax, you'll be automatically notified by e-mail
  72. whether your fax transmission was successful.
  73. Each Fax Printer provides several standard cover pages you can
  74. include with your document. The printer may also permit you to
  75. use personal cover pages. You can create or modify personal
  76. cover pages on a Windows NT computer with the Fax Cover Page
  77. Editor. Windows 95, Windows 3.11, and Windows For Workgroups
  78. fax clients do not have a cover page editor. You can use
  79. Windows 95 fax cover pages if you first open and save them
  80. with the Fax Cover Page Editor on Windows NT.

  82. 3. Receiving Faxes

  84. All faxes are received on the server. You can combine any
  85. of the following methods to manage faxes received on the
  86. server:
  87. * You can automatically route all incoming faxes to a
  88. folder on the server computer or on another networked
  89. computer.
  90. * You can automatically print each fax upon arrival.
  91. * You can automatically send received faxes in mail
  92. messages to an Exchange or Outlook Inbox.
  93. To view a received fax online, use the Fax Document Viewer
  94. (Start/Programs/Fax).

  96. 4. Setting Up Your Modem and Configuring the Fax Server
  97. ----------------------------------------------------------
  98. Note: If you are using the Small Business Server, install
  99. modems and configure the Fax Server using the options
  100. in the Small Business Server setup program or in the
  101. Small Business Server Console.
  102. First, install your fax device in your computer according to the
  103. manufacturer's instructions. Please see the release notes for
  104. a list of supported modems.
  105. Next, install Microsoft Fax for Windows. It adds Fax
  106. Server and Fax Client icons to Control Panel
  107. (Start/Settings/Control Panel).
  108. Use the Fax Server Properties dialog box to specify the server
  109. settings, such as:
  110. * The number of times you want the modem to redial after
  111. an unsuccessful call attempt, and the interval between
  112. redials.
  113. * Additional fax printers.
  114. * The cover pages you want to use with each printer.
  115. * Printer properties, such as the devices to send faxes,
  116. discount calling period, and where to archive sent faxes.
  117. * The number of rings before a call is answered, and
  118. how you want to handle incoming faxes.
  119. * The logging priority level for successful and unsuccessful
  120. fax events. You can view fax events in the Event Viewer,
  121. which you can find under Start/Programs/Administrator Tools.
  122. * Fax monitoring options.
  123. If you are going to send and receive faxes from the Fax Server computer,
  124. you can also open the Fax Client Properties to configure the client
  125. settings as described next (under 5).

  127. 5. Setting Up and Configuring Fax Clients

  129. When you install Fax Server it also installs the Fax Client
  130. software. On a Fax Client computer, you need to install the
  131. client and specify a shared fax printer. The Fax Client setup
  132. adds a Fax icon to Control Panel which opens the Fax Properties
  133. dialog box.
  134. Next, use the Fax Properties dialog box to specify fax settings,
  135. such as:
  136. * Paper size, image quality, and page orientation.
  137. * Whether to send the fax immediately or at another time,
  138. such as during off-peak hours when usage and long-distance
  139. phone rates are lower, or at a specific time.
  140. * An E-mail address for Fax Server to notify you of the
  141. status of your sent faxes.
  142. * Any personal cover pages you want to use along with those
  143. provided by the shared printer.
  144. * Your name, fax number, and other personal information
  145. you want to include on the cover pages of outgoing faxes.
  146. Finally, if you chose during setup to use Windows Messaging to
  147. specify fax recipients and to send faxes via email, set the following
  148. options in Microsoft Exchange or Microsoft Outlook for
  149. the Fax Mail Transport service.
  150. * The fax printer to use to send messages.
  151. * Whether to include a cover page with faxes sent from
  152. Exchange or Outlook and the default cover page you want
  153. to use.
  154. * The default message font for faxes sent by programs
  155. that do not support rich-text formatting.

  157. 6. Where Do I Go From Here?

  159. Setting up Microsoft Fax for Windows adds the following items to
  160. your Start menu, in a new Fax group, under Programs.
  161. * Cover Page Editor
  162. * Fax Configuration
  163. * Fax Viewer
  164. * Fax Send Utility
  165. * Help
  166. * Problem Reporting Form
  167. * Read Me First
  168. * Release Notes
  169. On the Fax Server computer, Setup adds a Fax Server and a Fax Client icon to
  170. Control Panel. On the Fax Client, it adds a Fax icon.

  175. Note: Note, on the Fax Server computer, this opens
  176. Fax Server Properties. On a Fax Client computer, this

  178. open the Fax Properties dialog box in the Control Panel.
  179. If you chose to use Windows Messaging for the Fax Client, Setup
  180. also adds the Fax Mail Transport service in Exchange or Outlook.

  190. Fax for Windows gives you two ways to get help: a
  191. complete online Help system and context-sensitive Help.
  192. Online Help provides step-by-step guidance for faxing tasks.
